1. Privacy Officers

In accordance with the  Act respecting the protection of personal information in the private sector (Law 25), AlloPsycho designates the following individuals as persons responsible for the protection of personal information:

Any request regarding your personal information (access, rectification, withdrawal of consent, portability, unsubscribing) must be sent to the address above.

2. Personal information collected

As part of our online psychosocial consultation services, AlloPsycho collects the following personal information:

2.1 Identifying Information
  • First and Last Name
  • Email address and phone number
  • Date of birth
  • Residential address (if deemed necessary)
2.2 Health and psychosocial information

This information is considered sensitive within the meaning of Law 25 and is subject to enhanced protection measures.

  • Reason for consultation and psychosocial history
  • Clinical notes and evaluation reports
  • Electronically signed consent forms via Jane App
  • Information pertaining to IVAC
2.3 Financial and Insurance Information
  • Payment Method (managed directly by Jane App — AlloPsycho does not keep cards on file)
  • Information pertaining to the private insureur
  • Your insurance provider's file number

3. Purposes of collection and use of information

Personal information is collected and used exclusively for the following purposes:

  • Provision of psychosocial services via teleconsultation
  • Managing client files and appointments
  • Billing and payment processing
  • Communications with The Client (confirmations, reminders, follow-up)
  • Processing insurance or IVAC claims
  • Compliance with the legal and professional obligations of the practitioners

We do not collect information for commercial purposes, prospecting, or resale. We do not use your data for advertising profiling.

4. Disclosure of information to third parties

AlloPsycho may share certain personal information with the following third parties, only to the extent necessary for the provision of our services:

4.1 Jane App (Jane Software Inc.)

Main clinical management platform used for appointment scheduling, video teleconsultation, electronic signing of consent forms, and payment processing. Jane App is a Canadian company with servers located in Canada (British Columbia).

4.2 Third-party organizations within the scope of IVAC mandates

In the context of IVAC mandates, certain information may be transmitted to the CNESST or other mandated organizations, with the express consent of the client or as required by applicable law.

4.3 No transfer outside Canada

Our clients' personal information is hosted and processed in Canada only. We do not transfer data outside the country.

5. Retention period

The retention period for client files is determined based on the professional obligations of each practitioner, in accordance with the rules of their respective professional order:

  • Social workers: rules of the *Ordre des travailleurs sociaux et des thérapeutes conjugaux et familiaux du Québec* (OTSTCFQ).
  • Criminologists : rules of the *Ordre professionnel des criminologues du Québec* (OPCQ)
  • Sexologists : rules of the *Ordre des sexologues du Québec* (OSQ)
  • Other professionals : rules of their respective orders

Upon expiration of the required retention period, records are securely destroyed in accordance with Jane App’s policies and AlloPsycho’s document management practices.

6. Cookies and tracking tools

Our website is hosted on WordPress (using Elementor). Cookies may be placed automatically by WordPress, Elementor, or any plugins integrated into the site.

Types of cookies potentially used:
  • Functional cookies (session, language preference)
  • Analytical cookies ( if a traffic analysis tool is active)
  • Third-party cookies (pertaining the the extensions used within WordPress)

You can configure your browser to refuse cookies or to be notified when they are placed. Certain website features may not function correctly without functional cookies.

7. Information security

AlloPsycho implements technical and organizational security measures adapted to the sensitive nature of the information processed:

  • Access to files is restricted to the professional practitioners and the Persons Responsible for the Protection of Personal Information. 
  • Data transmission is encrypted (TLS/SSL protocol).
  • Jane App platform is certified compliant with security standards for health data.
  • No payment information is saved through our systems

In the event of a confidentiality incident (unauthorized access, loss, or theft of data), we are committed to notifying the *Commission d’accès à l’information* (CAI) and the individuals concerned within the timeframes prescribed by Law 25.

8. Rights of the individuals concerned

In accordance with Law 25, you have the following rights regarding your personal information:

  • Right of access: To obtain a copy of the information we hold about you.
  • Right of rectification: To have inaccurate or incomplete information corrected.
  • Right to erasure: To request the deletion of your information (subject to legal retention obligations).
  • Right to portability: To receive your data in a structured and commonly used format.
  • Right to withdraw consent: To withdraw your consent at any time, without prejudice.

We will acknowledge receipt of your request within 3 days and respond within a maximum of 10 days.

9. Consent

By using AlloPsycho’s services, you consent to the collection, use, and disclosure of your personal information in accordance with this policy.

Service limitations : You acknowledge that AlloPsycho offers a psychosocial consultation service by appointment and does not constitute a crisis or emergency intervention service. If your situation requires immediate care, you agree to contact emergency services at 911.

A separate consent form, specific to your clinical follow-up, will be sent to you via Jane App before your first consultation. This form covers, in particular, the collection of health information, teleconsultation, and, where applicable, the disclosure of data within the framework of an IVAC mandate.

You may withdraw your consent at any time by contacting us at the address mentioned in Section 1. However, withdrawing consent may make it impossible to continue certain services.

10. Modifications to this policy

AlloPsycho reserves the right to modify this policy at any time, notably to reflect legislative changes or updates to our practices. The updated version will always be accessible on our website.

In the event of significant changes, we will notify you by email or by a visible notice on our website.

If you believe your rights have not been respected, you may file a complaint with:
